Faculty Hiring Process – Search, Screen and Hiring Procedures

Form 9 Review and Fund Availability Confirmation

This article describes the search, screen and hiring process followed for faculty at Purdue University Calumet. Download a printable copy of the flowchart (PDF).

  1. Start:
  2. Department prepares a new Form 9 for a Vacant or New Position
  3. Dean or Department Head approves filling the new or vacant position and signs Form 9
  4. Department receives copy of approved and signed Form 9
  5. Department forwards Form 9 to Business Manager in charge of Department accounts
  6. Business Office confirms the availability of funds for the position
  7. Business Office signs Form 9 and forwards to the Vice Chancellor for Academic Affairs (VCAA) for approval.
  8. Vice Chancellor of Academic Affairs office approves Form 9
  9. Vice Chancellor of Academic Affairs office contacts the department and Human Resources to advise that the VCAA and Senior Leadership Team (SLT) has approved the position
  10. The Department prepares the long electronic version for posting to the Purdue University Calumet Web site and sends it to the VCAA’s office for review
    • The Department prepares an abbreviated version of the position ad for the Chronicle and other selected Advertising Agencies
    • The Department follows the process for review and approval of the Ads prior to posting
  11. The VCAA’s office reviews and approves the electronic job posting for the Purdue Calumet Web site.
  12. The VCAA sends the electronic posting and Form 9 to the Office of Equity and Diversity
  13. The Office of Equity and Diversity (OED) reviews the electronic job posting for EEO language.
  14. The OED creates a vacancy folder and sends the electronic job posting to Human Resources for posting on Taleo.
  15. Human Resources Employment Clerk posts the position in Taleo, HigherEdJobs.com and GCM HERC.
  16. Human Resources Employment Clerk sends an email to the Office of Equity and Diversity, the VCAA office, the Hiring Supervisor and Search Team leader notifying them that the position has been posted.
  17. Search and Screen Team / Department sends the Self-Identity and Confidential Communication forms to Job Seekers.
  18. Job Seeker Self Identifies and returns the form to the Office of Equity and Diversity
  19. Search and Screen Team / Department contacts the Office of Equity and Diversity about a Search and Screen Meeting
  20. The Search and Screen Team / Department contact the Office of Equity and Diversity regarding the Applicant Pool during Mid search
  21. Office of Equity and Diversity calculates applicants from self-identify forms and notifies the search team about the results.
  22. Decision: The Search and Screen Team / Department decide whether the Applicant Pool is diverse
  23. If Yes go immediately to Step 25
  24. If No, Implement Plan to Increase Diversity and then proceed to Step 25
  25. Search and Screen Team / Department completes Form 11 after the search has been completed
  26. Search and Screen Team / Department attaches resumes with posting and Form 11 and obtains signatures to send to the Office of Equity and Diversity.
  27. The Office of Equity and Diversity receives Form 11, signs it and sends it to the VCAA.
  28. The VCAA’s office signs Form 11.
  29. The VCAA notifies the Search Team Leader that the form has been signed
    • The Search and Screen Team contacts the Dean to advise that an offer will be extended.
    • The Search and Screen Team notifies the Office of Equity and Diversity of the status of the offer.
  30. The VCAA sends Form 11 back to the Office of Equity and Diversity.
  31. The Office of Equity and Diversity matches Form 11 with Form 9 in the vacancy folder.
  32. Decision: Should the posting be removed? The Office of Equity and Diversity makes the decision
  33. If No, Go to Step 20 to continue the hiring process
  34. If Yes, the Office of Equity and Diversity sends an email to Human Resources requesting that the posting be removed.
    • The Office of Equity and Diversity completes the racial/ ethnic information on Form 11 and updates the spreadsheet as needed
    • The Office of Equity and Diversity calculates the applicants from self-identity forms.
  35. Human Resources Employment Clerk removes the posting.
  36. The process ends.
